Privacy notice

This notice explains what personal information Golf Society Home holds, why, who we share it with and what your rights are. It is written under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
Golf Society Home and GoChuchuro are trading names of Prakash Gurung, a sole trader based in England. Business address: 1 Rake Way, Andover SP11 6FX, United Kingdom. In these pages, "we" and "us" means Prakash Gurung trading as Golf Society Home. Contact us at hello@golfsocietyhome.com; for payments, billing@golfsocietyhome.com.
2. Two roles, depending on whose data it is
We are the controller for information about visitors to this website, people who join the early-access list or contact us, and the officers who open and pay for a society's account.
Each society is the controller for its own members' information: the register, handicaps, entries, scores and payments. We process that information on the society's behalf and only on its instructions, under the data-processing terms in our Terms of use. If you are a member and want to see, correct or remove your details, ask your society's secretary first. You can also write to us and we will pass your request on and help the society answer it.
3. What we collect
Website visitors and early access
- Your name, email address, your society's name, the web address you want and your role, when you reserve an address.
- Your name, email, society and message, when you use the contact form or email us.
- Anonymous visit counts (pages viewed, rough country, device type). These are collected without cookies and cannot identify you.
Society officers
- Name, email address and, if you add it, mobile number.
- Your role in the society and a record of changes you make in the Office (the audit trail).
- Billing details: the plan, invoices and payment confirmations. Card payments are handled by Stripe; we never see or store card numbers. Bank transfers are recorded as a reference and amount.
Members, held for the society
- Name, email, mobile, postcode, handicap, gender and age group where the society uses divisions, and join date.
- Entries, tee times, Score cards, results and Order of Merit positions.
- Subscription and fee records.
- Photos and posts a member submits to the Clubhouse, once an officer approves them.
Societies may add junior members. The society is responsible for having a parent's or guardian's agreement for any member under 18.
4. Why we use it, and our lawful basis

We do not sell personal information, and we do not use it for advertising.
5. What other members can see
Inside a society, members see each other's names, handicaps, tee times and results, as on a clubhouse noticeboard. Emails, phone numbers and postcodes are visible only to the officers who need them. A society can make its results and Order of Merit public; names and scores then appear on its public page.
6. Who we share it with
We use a small number of suppliers to run the service. Each one only receives what it needs, and each is bound by a data-processing agreement.

Where a supplier handles information outside the UK, we rely on UK adequacy regulations, the UK Extension to the EU–US Data Privacy Framework, or the UK International Data Transfer Addendum.
We may also disclose information if the law requires it.
7. How long we keep it
- Society data: for as long as the society has an account. A society that stops paying moves to Free and keeps its data. If a society closes its account, we delete its data within 90 days, after giving officers the chance to download it. Backups are overwritten within 30 days after that.
- Early-access list: until you unsubscribe, or 12 months after launch if you have not started a society.
- Enquiries: 12 months after the last message.
- Financial records: 7 years, as HMRC requires.
8. Keeping it safe
- Everything travels encrypted (TLS) and is stored encrypted.
- Sign-in uses one-time codes, so there are no passwords to steal.
- Each officer sees only the parts of the Office their role needs, and changes are recorded.
- Each society's data is kept separate from every other society's.
If a breach puts people's rights at risk, we will tell the ICO within 72 hours, and tell the affected societies and people without undue delay.
9. Your rights
You can ask us to show you, correct, delete, restrict or hand over your personal information, object to how we use it, or withdraw consent. Email hello@golfsocietyhome.com. We reply within one month. Members of a society can also go to their secretary, who can correct or export their record directly.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
10. Cookies
This website sets no cookies. The member app and the Office use a small number of essential ones to keep you signed in. See the Cookies page.
11. Changes
We will post any changes here with a new date. If a change affects how we use your information in a significant way, we will email society officers first.
